If any provision of these Terms conflicts with the Refund and Cancellation Policy on a refund-related matter, the Refund and Cancellation Policy controls. If any provision conflicts with the Privacy Policy on a data-related matter, the Privacy Policy controls. Travia LLC will keep a written or electronic record of this acceptance, together with the applicable booking or service confirmation, as part of the transaction file.
Our services are intended for individuals who are at least 18 years old and have the legal capacity to enter into a binding contract. If you book travel or a service for a minor as part of a family or group reservation, you confirm that you are the minor's parent or legal guardian, or otherwise authorized to make that booking on their behalf.
You agree that Travia LLC may communicate with you electronically, including by email, text message, and WhatsApp, and that any confirmation, acceptance, or agreement you provide through those channels is legally binding to the same extent as a handwritten signature, consistent with the U.S. Electronic Signatures in Global and National Commerce Act (E-SIGN). Travia LLC will keep a record of these electronic communications as part of the transaction file for each booking or service.
For travel bookings, visas, and travel insurance, Travia LLC acts as a booking agent or intermediary between you and the airline, hotel, tour operator, wholesaler, insurer, or consular authority. We do not control, and are not responsible for, the acts, omissions, delays, cancellations, or service quality of any third-party provider. For professional services (research, consulting, translation, interpretation, event planning, and document preparation), Travia LLC provides the service directly, based on the scope agreed with you before payment.
Visa consultation services provided by Travia LLC are limited to assistance with travel-related visa applications, such as tourist or business visas, and do not constitute legal advice regarding immigration status, residency, asylum, or citizenship. Travia LLC is not a law firm and does not represent clients before any government or immigration authority. Clients requiring legal immigration advice should consult a licensed attorney.
You are responsible for providing accurate, complete, and timely information, including correct names, travel dates, passport and identification details, and any materials needed to complete a professional service. You are responsible for holding valid travel documents (passport, visa, health, or entry requirements) as required for your trip. Delays or errors caused by inaccurate or late information you provide are not the responsibility of Travia LLC and do not entitle you to a refund, schedule guarantee, or fee waiver, consistent with our Refund and Cancellation Policy.
In the course of providing research, consulting, event planning, translation, or document preparation services, Travia LLC may have access to business or personal information you consider confidential, such as internal plans, pricing, strategy, or family or civil records, even where that information does not qualify as personal data under privacy law. Travia LLC will use this information only to perform the requested service and will not disclose it to third parties, except where necessary to complete the service, for example sharing content with a language service provider such as PLURILANG SERVICES LLC, or where required by law.
Once a professional service (translation, document preparation, research, or consulting deliverable) has been paid in full and delivered, ownership of those specific deliverable transfers to you. Travia LLC retains no rights to use, publish, or share the delivered work, except where a broader license is separately agreed in writing.
Travia LLC does not guarantee the approval of any visa application, the acceptance of any translated or prepared document by a government authority, consulate, employer, or institution, or the availability, pricing, or performance of any third-party travel provider. Once a service has been delivered as agreed, its rejection or non-acceptance by a third party is not a valid basis for a refund or claim against Travia LLC, consistent with our Refund and Cancellation Policy.
Travia LLC reserves the right to decline, delay, or cancel any booking or service, before or after payment, if we reasonably suspect fraud, unauthorized card use, or a violation of these Terms. We may request additional verification, such as government-issued identification or proof that you are the authorized cardholder, before confirming a booking or service. If a booking or service is cancelled under this section before any funds have been forwarded to a third-party provider, any payment received will be refunded in full.
To the maximum extent permitted by law, and except as otherwise provided in our Refund and Cancellation Policy, Travia LLC's total liability for any claim arising from a booking or service is limited to the fees actually paid to Travia LLC for that specific booking or service. Travia LLC is not liable for indirect, incidental, or consequential damages, including lost enjoyment, missed connections, or third-party provider failures, except where such liability cannot be limited under applicable law.
You agree to indemnify and hold Travia LLC harmless from any claim, loss, or expense, including reasonable attorney's fees, arising from your violation of these Terms, your provision of false or misleading information, your misuse of a delivered service, or your violation of applicable law.
Travia LLC is not responsible for delays or failures in providing a service caused by events beyond our reasonable control, including natural disasters, government actions, strikes, epidemics, or failures of airlines, hotels, or other third-party providers.
If you are a traveler based in the European Union or United Kingdom and your booking qualifies as a "package" or "linked travel arrangement" under the EU Package Travel Directive (2015/2302) or the UK Package Travel and Linked Travel Arrangements Regulations, Travia LLC will provide the pre-contractual information and insolvency protection required under that law, and nothing in these Terms limits any right you have under it.
These Terms are governed by the laws of the State of Michigan, USA, without prejudice to any mandatory consumer protection rights you may have under the laws of your country or state of residence that cannot be waived by contract. If any provision of these Terms is found unenforceable, the remaining provisions remain in full effect. This policy applies to anyone who books travel, visa, insurance, or professional services with Travia LLC, and to visitors of our website, wherever you are located.
We collect information directly from you, and in some cases from our travel providers and payment processor, including:
Identity information: full name, date of birth, gender, nationality, and government-issued identification (such as a passport, national ID, or driver's license).
Contact information: email address, phone number, mailing address, and country of residence.
Travel details: flight, hotel, car rental, cruise, or tour preferences and bookings, frequent flyer or loyalty numbers, dietary or accessibility needs you share with us, emergency contact information.
Visa and immigration information: passport details, travel history, and other information required by consulates or government authorities to process a visa application.
Payment information: we do not store full credit card numbers. Card payments are processed through a PCI-DSS compliant third-party payment processor. We may retain the last four digits of a card, transaction amounts, and payment method for our own accounting and dispute records.
Communications: emails, messages, and records of calls or WhatsApp messages you send us related to your booking or service request.
Website information: if you use our website, we may collect your IP address, approximate location, browser type, and pages visited, through standard website analytics tools.
Third-party information you provide to us: In connection with translation, document preparation, research, event planning, or consulting services, you may share documents or information that include personal details of other individuals, for example, family members named in civil documents, business contacts in a contract, or guests included in an event list. By providing this information, you confirm that you are authorized to share it with us for the purpose of the requested service, and that you are responsible for any notice or consent required from those individuals under applicable law. We use this information only to perform the requested service, under the same safeguards described in this Policy.
We use your information to book and manage your travel, visa, insurance, or professional service requests; to communicate with you about your booking, including schedule changes, cancellations, or issues reported by a provider; to process payments and refunds; to comply with legal and regulatory requirements, including government-mandated passenger information such as Secure Flight data required by the U.S. Transportation Security Administration, or Advance Passenger Information (API) required by certain destination countries; to verify your identity for visa applications or fraud prevention; to improve our services and respond to your questions or complaints; and to send you service-related communications. We do not send marketing communications unless you separately opt in, and you may opt out at any time.
We may also contact you by phone, text message, or WhatsApp regarding your booking or service request. By providing your phone number, you consent to receive service-related calls and text messages from us, including from an automatic telephone dialing system where applicable. Message and data rates may apply. You may opt out of text messages at any time by replying STOP.
If you are located in a country that requires a stated legal basis for processing personal information, we process your information based on one or more of the following: performance of a contract, to book and deliver the travel or professional service you requested; legal obligation, to comply with tax, immigration, or aviation security laws; legitimate interest, to prevent fraud, resolve disputes, and improve our services, balanced against your privacy rights; and consent, for optional marketing communications, which you may withdraw at any time.
Because Travia LLC acts as a booking agent, we share the minimum information necessary with airlines, hotels, tour operators, car rental companies, and cruise lines, to create and confirm your booking, many of which operate outside the United States; our travel service providers, to process reservations; insurance providers, if you purchase travel insurance, so they can issue your policy and handle any claims; government and consular authorities, if you apply for a visa through us; our payment processor(s), to process card payments; language service providers, if you request translation or interpretation services; other professionals or service providers we work with to fulfill event planning, research, or document preparation requests; and legal or government authorities, if required by law, subpoena, or to protect the rights, property, or safety of Travia LLC, our clients, or others. We do not sell your personal information to third parties for their own marketing purposes.
Travia LLC is based in the United States, and your information is primarily processed and stored in the United States. Because we serve clients around the world and work with travel providers across multiple countries, your information may be transferred to, stored in, and processed in countries other than your own, including the United States. We take reasonable steps to handle your information consistent with applicable data protection laws in your country of residence, where such laws apply. Where local law grants you specific rights, such as the right to access, correct, or delete your data, or to be informed of a data breach, we honor those rights as described in Section 8 below, regardless of your location. We retain your information for as long as needed to complete your booking, respond to any post-booking issues, comply with tax and accounting record-keeping requirements (generally at least 7 years for financial records under U.S. tax law), and resolve any disputes. Visa and passport information is retained only as long as needed to complete the application process, plus any period required by law. If local law in your country requires a shorter or longer retention period for certain categories of data, we will follow that requirement where it conflicts with our general practice.
Regardless of where you live, you generally have the right to request access to the personal information we hold about you; request correction of inaccurate information; request deletion of your information, subject to our legal and tax record-keeping obligations; object to or restrict certain processing of your information; withdraw consent, where processing is based on consent, such as marketing communications; request a copy of your information in a portable format, where applicable under local law; and file a complaint with your local data protection authority, if your country has one. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. Includes flights, hotels, car rentals, airport transfers, vacation and cruise packages, tours, excursions, and experiences (including shore excursions).
Full payment is due at the time of booking. We do not accept deposits or partial payments. All travel sales are final once the booking is confirmed.
Travia LLC acts only as a booking agent between you and the airline, hotel, tour operator, or other travel provider. Once your booking is confirmed, Travia LLC has fully delivered its service. The actual travel experience is provided and controlled by that third party, not by Travia LLC.
Refunds are only available when the provider's rules allow it, for example a fully refundable fare or a flexible hotel rate. Refunds are not available for price drops after purchase, missed flights or reservations, or changes of mind. If a refund is approved by the provider, Travia LLC retains a processing fee equal to 10% of the amount actually refunded by the provider (not the original booking amount) to cover administrative and payment processing costs.
Issues caused by the provider, such as flight cancellations, delays, overbooking, vehicle problems, or changes to a tour, are the provider's responsibility, not Travia LLC's. These issues are not valid grounds for a refund or a payment dispute against Travia LLC, since the booking itself was completed as agreed. If a flight schedule changes or is canceled by the airline, Travia LLC will notify you as soon as possible. This notification is a courtesy and does not by itself create refund or dispute rights, since the change was caused by the airline, not Travia LLC. In these cases, Travia LLC will work directly with the provider on your behalf to pursue compensation, upgrades, or a refund under their policies, and any amount we recover is passed on to you in full.
In the rare event that a travel provider or wholesaler becomes insolvent, ceases operations, or otherwise fails to deliver a confirmed service after payment has been forwarded to them, Travia LLC will assist the client in pursuing any available remedy directly against that provider, including through the client's card issuer where applicable. Travia LLC's liability in such cases is limited to the fees actually retained by Travia LLC for the affected booking.
Visa consultation and processing fees are due at the time of service and are non-refundable, whether the visa is approved or denied. These fees cover the time and work involved, and often include non-refundable government or consular charges. Processing times and outcomes are decided by the relevant consulate or government authority, not by Travia LLC.
Travel insurance is sold on behalf of a licensed third-party insurance provider. Travia LLC is not the insurer and does not handle claims. Cancellation, refund eligibility, and any "free look" period (a short window after purchase, typically 10 to 15 days, during which you may cancel directly with the insurer for a full refund) are governed by the insurer's own policy terms, provided to you at the time of purchase. For claims or cancellation requests, you must contact the insurer directly.
Includes research, consulting, translation, interpretation, event planning, and document preparation. These are personalized, time-based professional services, and payment terms differ from travel bookings.
Full payment is due in advance, before work begins. The scope of work, including deliverables, format, language pair, event date, or research topic, is agreed with the client before payment. Any changes to the agreed scope after payment may involve additional fees.
For translation, document preparation, and research projects, Travia LLC will share a draft or preliminary deliverable with the client before considering the project final, whenever the timeline allows. The client is expected to review this draft and request any changes at that stage. Once the client approves the draft, or once the final deliverable is sent without an approval step (for example, on rush projects), the service is considered delivered as agreed.
Client satisfaction is supported through revisions, not refunds. Travia LLC will correct or adjust a deliverable to match the agreed scope at no extra cost, within 7 business days of delivery. Requests for revisions must be specific and related to the original scope.
No total or partial refunds are issued once a service has been delivered as agreed and matches the scope approved by the client. This applies even if the client is later not fully satisfied with the style, tone, or outcome, as long as the delivered work matches what was agreed. Interpretation services (live, time-based) are considered delivered once the session has taken place and cannot be refunded afterward.
A refund may apply only if Travia LLC fails to deliver the service at all, or if the delivered work does not match the scope agreed with the client and cannot be corrected through revisions. In rare cases, Travia LLC may offer a partial credit or discount as a courtesy at its own discretion; this is not guaranteed and is evaluated case by case.
Delays caused by the client, such as late delivery of source documents, materials, or event details, are not the responsibility of Travia LLC and do not entitle the client to a refund or schedule guarantee.

They control real-time rebooking and are able to assist you immediately, 24/7, at the airport or through their own customer service line. Once the immediate issue is handled, notify us so we can follow up with the provider on compensation, refunds, or any other resolution under their policies.
